ADMINISTRATIVE ASSISTANT – IDAHO LOTTERY
PURPOSE
The Idaho Lottery Administrative Assistant performs a wide variety
of
administrative and secretarial support functions for the Executive
Director and Management Team; applies detailed program knowledge in
developing and maintaining program records systems, in collecting
information, preparing reports and providing liaison between
management, other organizational units and external customers.
Supervises an office support unit; hires, trains and evaluates
support staff; plans, coordinates, and oversees the day-to-day
operations; and performs related work, including payroll processes,
human resource support and executing and tracking detailed travel
and
event arrangements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this job. These are not to be
construed as exclusive or all-inclusive. Other duties may be
required and assigned.
• Produces internal and external communications;
• Plans, schedules, books, tracks and coordinates travel
arrangements;
• Prepares collateral materials for Commission meetings, posts
notices and agendas;
• Prepares and distributes agendas and summary meeting
minutes;
• Updates operational manuals;
• Serves as agency record keeper for legal proceedings,
contracts and administrative rulings;
• Processes payroll electronically;
• Interfaces with the public to provide customer service or
making complaints;
• Demonstrates continuous effort to improve operations,
decrease turnaround times, streamline work processes, and work
cooperatively and jointly to provide quality seamless customer
service.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of:
• Planning and scheduling techniques for a Chief Executive
Officer, President, Vice President, or other executive officer of a
company or organization.
• Research methods and techniques and methods of reports
preparation.
• The principles of customer service and public relations.
• Electronic spread sheet, graphics, database, and word
processing computer applications.
• The principles and techniques of systems and procedures
analysis.
Ability to:
• Make significant decisions and exercise resourcefulness in
resolving new problems.
• Work cooperatively with other employees, elected officials,
and the public.
• Produce written documents with clearly organized thoughts
using proper English sentence construction, punctuation, and
grammar.
• Analyze, interpret, and report research findings.
• Make decisions in accordance with laws, regulations and
policies.
• Organize data gathered in clear, understandable formats
including graphs, charts, and memos.
• Review or check the work products of others for conformance
with standards.
• Must be able to perform essential job functions with or
without reasonable accommodation.
Direct Reports: Benefits Coordinator(s), Receptionist(s) - Monitor
assignment time lines and provide specific training, feedback,
mentoring and support.
EXPERIENCE AND TRAINING REQUIRED:
Minimum five years office administrative support
experience
is preferred.
Some college preferred, or equivalent combination of
education, training and experience which provides the requisite
knowledge, skills and abilities for this job.
Excellent organizational skills and the ability to
excel at
details, writing, grammar and use of the English language, multi-
tasking and working under pressure.
Must have experience and skill in the use of software
programs such as MS Word, ACCESS, PowerPoint, and Excel.
Salary Details:
$25,000 - $33,000, DOQ, plus excellent benefits package
